Hello everyone,

Workflows are an important tool for helping teams organize complex processes in WorkTiles, but we know that real-world projects often involve multiple interconnected workflows that need to work together seamlessly. A month-end close might depend on reconciliation workflows, journal entry workflows, and reporting workflows all running in parallel. An audit process might require account analysis workflows, documentation workflows, and management review workflows to coordinate perfectly.

That's why today we're introducing Workflow Dependencies - a powerful new feature that lets you connect workflows together, creating a sophisticated financial process orchestration while keeping each workflow focused and manageable.


Workflow Dependencies - Connect Your Financial Processes

You can now link workflows together by adding workflow tiles directly into your workflow graphs. This creates clear dependencies between different financial processes, ensuring that teams know exactly when one workflow depends on another's completion.


Here's how it works:

Add workflow dependencies by clicking the "+ add predecessor / successor" button in any workflow and selecting "Add Workflow".

This will open up a pop-up where you can choose from existing workflows in your team to create the connection.


Visual clarity
- Workflow tiles appear directly in your workflow graph alongside regular tasks, showing the status and progress of the connected workflow at a glance.

By clicking on the workflow-tile you can also see all the tasks in that workflow and be able to quickly navigate to them.


Smart scheduling
- When a task depends on another workflow's completion, the system understands these relationships and helps you plan accordingly.

Examples:

Month-End Close: Your main close workflow can include dependencies on reconciliation workflows, accounts payable workflows, and revenue recognition workflows - all visible in one place.

Annual Audit Preparation: Your audit readiness workflow can depend on quarterly reconciliation workflows, internal control testing workflows, and documentation workflows, ensuring all financial processes are complete before auditors arrive.

Budget Planning Process: Your annual budget workflow can include dependencies on departmental budget workflows, capital expenditure workflows, and forecast validation workflows.


How to Use It

Open any workflow and click the "+ add successor / predecessor" on an existing task .

Select "Add Workflow" - the connecting workflow must have the same recurrence/cadence as the workflow you are adding it to

Choose the workflow you want to connect from your team's workflows

The workflow tile will appear in your graph, showing real-time status and progress

Click on any workflow tile to view its details

Perfect for:

Accounting teams that need to see how their work fits into the bigger financial picture

Introducing the Archive Feature

The Problem We All Know Too Well

You know that sinking feeling when you accidentally delete something important? That moment of panic when you realize your monthly financial workflow is gone forever, along with all its historical data? Yeah, we've been there too.

Permanent deletion is like having a nuclear button right next to the light switch. One misclick and everything is gone forever, with no way back.

Enter: The Archive Feature

We've added a two-step safety net that follows the "measure twice, cut once" philosophy:

Step 1: Archive (The Safety Buffer)

  • What it does: Hides tasks and workflows from your main views
  • Why it's mandatory: Creates a safety buffer against accidental deletion

The result: Nothing gets permanently lost by mistake

Step 2: Delete Permanently (The Intentional Choice)

  • What it does: Actually removes things forever
  • When it's available: Only after you've archived something first

Why it's safer: Requires deliberate action, not just a single missclick

What Changed for You

Active Tasks & Workflows

Removed: Direct delete options (no more accidental permanent deletions!)

Now required: Must archive first (your safety net)

Archived Items

Then available: "Delete permanently" option (when you're intentionally cleaning up)

Always available: "Restore" option (for when you archived by mistake)

Recurring Workflows

Improved: "Stop process" (clearer than the old confusing labels)

  • Clarified: Removes current + future iterations while preserving the past

  • Accident-Proof: Impossible to permanently delete something with a single click
  • Mistake Recovery: Archived by accident? Just restore it
  • Intentional Deletion: When you do want to permanently delete, it's a conscious choice

  • Archive your stuff: Task/Workflow edit menus (now the only option)
  • View archived items: New "Archive" section in your sidebar (under Organization)

Think of archiving as putting on your seatbelt before driving. It's not because you plan to crash - it's because accidents happen, and when they do, you'll be glad you took the precaution.

Hello everyone,

Managing tasks effectively means being able to see them in different ways depending on what you're working on. Sometimes you need to see everything organized by who's responsible, other times by due date or project status. That's why today we're excited to launch Display Options - a great new way to organize and view your tasks exactly how you need them, available across all your workspaces in WorkTiles.

Introducing Display Options

Choose Your View:

  • List View: Clean, efficient rows perfect for scanning through tasks quickly
  • Board View: Visual columns that let you see work stages at a glance

Group and sort your tasks in multiple ways across all your task views:

  • Due Date - see what's coming up when
  • Assignee - organize by who's responsible
  • Status - track progress from Todo to Done
  • Tags - group by project, priority, or any category you use
  • Team - see tasks organized by team ownership
  • Reviewer - group by who needs to approve or review

Sort Within Groups:

  • Due Date, Priority, Status, Creation Date, Updated Date

Manual - drag tasks into any order and they'll stay exactly where you put them

Smart Drag & Drop in Board View

When you use Board view and drag tasks between columns, WorkTiles automatically updates the task details to match:

  • Drag between assignee columns → assignee updates automatically
  • Drag between status columns → status changes instantly
  • Drag between date columns → due dates update to match
  • Drag between tag groups → tags are added or updated

Display Options give you the flexibility to see your work the way you think about it. Whether you're planning your day, coordinating team efforts, or tracking project progress, you can now organize tasks in the way that makes the most sense for the job at hand.

We are also adding Workflow Timeline Filtering

For teams using workflows, you can now filter the timeline view based on task properties in the workflows - making it easier to find specific workflows or see only the ones that match certain criteria.

Hello everyone,

Workflows are at the heart of WorkTiles - they turn complex processes into a clear, organized plan that everyone can follow. We’ve seen how powerful they can be for everything from onboarding new team members to preparing for critical deadlines, and we want to make them even more flexible and easy to use.

That’s why today we’re introducing two new features we think you’ll really appreciate: Workflow Templates and Adjust All Task Positions. Together, they make it faster to set up workflows, simpler to adapt them when plans change, and easier to reuse proven processes again and again. Whether you’re starting fresh or adjusting an ongoing project, these tools are here to save you time and keep your work on track.

Workflow Templates - with date anchors

You can now create workflow templates from scratch or save existing workflows as templates. This opens up a whole new way of working in WorkTiles,  especially for activities you run often.

Here’s how it works:

Set up a template for things like quarterly board prep or new hire onboarding.

Use date anchors like Start Date or Finish Date to instantly schedule all tasks based on the date you choose. These take working days into account so no tasks will accidentally fall on a weekend.

No more adjusting tasks one by one - WorkTiles automatically aligns everything for you.

Examples:

Onboarding a new hire starting 20 August? Set Start Date to Aug 20, and all tasks will be placed in the right order from that date.

Preparing for a board meeting on 18 September? Set Finish Date to Sept 18, and WorkTiles will work backwards to make sure everything is done in time.

To use it, click Add new process → From Template → pick your saved template, set your date anchor, and you’re ready to go.

Adjust All Task Positions

Projects get delayed. Deadlines shift. People’s schedules change. Now, instead of updating every single task manually or having a whole host of late tasks, you can adjust due dates for an entire workflow in one place.

Update all tasks in a workflow at once, or just a selected set of tasks. Whether it’s a one-time workflow, a recurring one, with specific or relative dates - you can reschedule everything with just a few clicks. You can find the "Adjust all task positions" under the three dots menu (...) in any workflow.

A new drawer makes it easy to spot and act on overdue tasks or those without a due date.

Plan Quickly with Drag & Drop

Move tasks between weekdays, "No Due Date", "Late" and we’ll automatically update the due date for you.

Scroll Through Time

You can now scroll horizontally to see up to two months back and two months ahead, helping you plan and review work over longer periods. With a "Go to today" button so you can easily find your way back to today.

No More Forced Sorting

We no longer require tasks to be in exact date order, but we’ll alert you if something looks off.

Easier Workflow Management

Drag tasks straight into a workflow from the task drawer to create your workflows with ease. You can also  drag and drop tasks within a workflow to create task dependencies, making process planning clearer and more intuitive.

These changes are all about helping you plan smarter, act faster, and stay in control,  whether you're managing structured month-end processes or tackling unexpected tasks.

Hey,

It's time for a product update from WorkTiles! We've been hard at work bringing some new solutions and general improvements.

Calendar view in My tasks

We improved the My tasks view to give you an even better overview of your day and week. In addition, it is now possible to see your calendar events in the same view. To get the calendar events you need to sign out and then sign in again using either Google or Microsoft login. Google users has to wait a little longer to get this feature as we're currently waiting for Google to approve our application.

Tasks without due date

It is now possible to create tasks without due date. This will allow you to quickly add all kind of small tasks. You can then later add a specific date for the task if you want.

Of course, we added a filter to all of our views so that you can find tasks without a due date.

And as always, plus a bunch of small fixes and improvements!

Time for a December product update and some exciting news from us!

Changed how External Assignee works

External Assignee has moved and you can now invite multiple people to one task. This will allow you to invite multiple people to a task to collaborate with. For the external user, it works just the same as before when they were assignee.

Displaying screenshots and images

When you upload an image to a task description or comment, we will now display the image inline with your content. We hope this will improve sharing images!

Search all tasks from anywhere (ctrl+k)

We added a search tool for you to easily and quickly find a specific task from anywhere in the application. You can click the search button or just hit the ctrl+k keys on your keyboard. If the task is recurring (e.g. monthly) we will take you to the active iteration of that task.

Workflow renamed to process

We have renamed workflow to process throughout the application as that is a much better fit and a more common word.

And as always, plus a bunch of small fixes and improvements!

Time for a November product update and some exciting news from us!

Stakeholder collaboration - external assignee

As a first step of making WorkTiles a great tool for collaborating with external stakeholders we have introduced External assignee. This could be used for collecting information from people that are not part of your team in WorkTiles but you still need to collaborate with, such as someone from sales for the monthly numbers, or getting an approval from legal.

How it works

  1. Invite a new external assignee by entering their email and name. WorkTiles will then create a limited account for that user and send an email.


  1. The external person clicks the button in the email, they will be automatically logged in and have access. As an external assignee you can make comments and change the status of a task, all other fields are locked.

Notification digest

We are now collecting notifications and only sends maximum one email per hour. This is to make it less spammy. You still receive the notification in real-time when you're in WorkTiles.

Copy task

It is now possible to easily make copies of tasks.

And as always, plus a bunch of small fixes and improvements!

We have some exciting new improvements to WorkTiles!

New due date picker

Due dates on WorkTiles have become quite complex and we have re-built how you pick a due date to make it faster, more intentional, and clearer.

Improved workload view

You now get a better overview of all tasks during a week. It is easy to jump into specific people in your team. This is especially helpful during status meetings with your team.

Summary tile in views

All overviews now include a summary tile at the top to give you even better overview of your progress.

In addition we made ~20 other small changes to improve and simplify WorkTiles 🎉

Upcoming

We also want to keep you in the loop on product roadmap. Here is a high-level list of what we currently have in our product roadmap. Keep in mind that this might change as we often re-prioritize based on your feedback.

  • Build new features for collaboration with external stakeholders
  • Improve notifications and give you more tools to personalize notifications for you
  • Add grouping to tags. This will give you much more flexibility with tagging.

Hey!

We wanted to let you know of some new features and improvements that we recently released!

Tasks recurring multiple days per week

It is now possible to specify a weekly recurring task to occur on multiple days of the week. 

Task page

We now have a full-screen view of a task. This will give you much more room to have more extensive descriptions and have longer discussions in the comments section.

This also means that we have moved the "Delete task" button to the task page.

Reply to comments

Related to the task page, we now make it possible for you reply to specific comments and have longer threads in the comments section. 


When a specific conversation has concluded, it is also possible to resolve the thread and collapse it.

Now you can add, edit, and remove companies from your organization by yourself!

It is now possible to create workflows directly from the workflows page.

We are excited to show you some improved tools around managing your processes and workflows. We now give you a better overview of all your workflows and their iterations.


From now on, every task will belong to a workflow. The workflow is automatically determined based on a tasks dependencies. By default, all workflows will be "unnamed" and you can decide if you want to give it a more descriptive name.

Full dependency view
It is now possible to easily get an overview of dependencies between tasks.

You can reach this view by clicking "View extended" in the task slide over.

Activity list
There is now a new page where you can see all activity in your organization. You can filter on just your activity or see all activity for everyone.

Inbox
In addition to the activity list, there is now also an inbox where you'll be notified about the most important changes for you.

Hi from WorkTiles,

New year and new functionality at WorkTiles. We want to keep you in the loop about all the changes and improvements to the product, please let us know if you do not want these updates.

New features

  1. All time
    There is now a shortcut in the time selector for looking at All time.
  1. See recurrence for a task
    It is now possible to easily get an overview of a recurring task's previous or future iterations. This is very helpful if you need to have a quick look at last month's iteration.
  1. Hide recurrence in the list
    We now give you the option to only see the most relevant task for all recurring tasks. This means that if you have a weekly task, we will only show the next upcoming iteration and not all previous and future tasks.
  1. Shortcut to view all unassigned tasks
    Click "Unassigned tasks" to find all tasks that are missing an assignee. This is a great view for you to check if you have any unassigned tasks.
  1. Create more
    If you activate the "Create more" toggle, you can easily create many tasks with similar attributes. For example, when you want to create 5 tasks that should all be assigned to the same person and have the tag "Accounts Payable", if you toggle "Create more" and click "Add task", those attributes will then be prefilled.

Additional updates!

We managed to squeeze in another improvement before the end of January 🎉

  1. Blocked is no longer tied to status
    WorkTiles used to automatically update the status of tasks based on the statuses of dependencies. We simplified this and "Blocked" is now separated from status so that you can start working on a task even if one of its dependencies is not done. You can still see clearly if a task is blocked as we color the background around the status yellow if that's the case.
